How to import your properties from a spreadsheet

Bring your whole portfolio across at once when your properties already live somewhere else (a property management system export, an Excel list, a CRM, and more). Nothing is added until you confirm.

Prepare your file

We accept CSV, Excel (.xlsx), and JSON files. There's no template to follow: give your spreadsheet a header row naming each column, and put one property per row. Want a starting point? Download an example CSV.

  • Address columns. We build each property from its location: a unit, apartment, or lot number, then the street, then the suburb, city, or postcode. Split across columns or in one, either works.
  • No address? We fall back to the most identifying name column (a customer, business, building, or site name).
  • Contacts are the people you work with at each property, like tenants and owners. In the app, pick one to add them to a report and invite them to sign. Leave out you and your team: they join from the Team page instead.
  • Contact columns. Name each column after the role, then the detail: Tenant Name, Tenant Email, Tenant Phone, and Tenant Notes. Any role works (Landlord, Owner, Strata manager, and more), and it's used just as you wrote it. A name can also be split into First Name and Last Name. See property contacts.
  • More than one per role? Number them: Tenant 1 Name, Tenant 2 Name. Repeating the same columns works too.
  • Notes. A Notes column goes into the property's notes. Any other notes column (Access Notes, Key Notes, and more) is added with its name in front.
  • Everything else is ignored. Rent, dates, and similar columns don't end up in the property.

Contacts and notes need a spreadsheet. A pasted list or a JSON file imports property names only.

Each import takes a file up to 5 MB, with up to 5,000 rows and 250,000 characters. For more, split it into several files.

Upload it

  1. Sign in on the web. Head to myinspections.com and sign in.
  2. Open Properties. You'll find it in the sidebar. Select New.
  3. Select Bulk Import. It's at the top right of the page.
  4. Choose your file. The upload starts as soon as you pick it.

No file? Select Want to copy & paste your properties instead?, paste your list with each property on a new line, and select Import.

Review and save

For a spreadsheet with several columns, How we read your file shows how we built each property's name (Property name), which columns became Contacts and Notes, and which we Ignored. Below it is every property: new ones first, then the ones already in your account with what we'll add to each.

  • Name not quite right? Select Format names differently, then describe how to build each property's name. Click a column name to paste it in, or pick one of the examples. You can also ask us to add text a column is missing (a postcode, a city, and more). Select Update preview to rebuild the list.
  • Contacts or notes not right? They come from your column names, so rename the columns in your file and upload it again.
  • Fix anything else that's off. Edit any new property's address, or select the × beside a property to leave it out.
  • Select Save. The button shows how many properties you're saving.

A property listed twice in your file is saved once, with the contacts and notes from both rows.

Add contacts and notes to properties you already have

Upload your file again with the contacts and notes columns added. A property already in your account (archived ones included) is listed under properties to update, with exactly what we'll add. One with nothing new is skipped.

  • Nothing is removed or overwritten. A blank cell never clears anything, and contacts not in your file stay.
  • Contacts are matched by email, or by name and role. A match gets any details it's missing and any new notes; anyone else is added.
  • Notes are added to the end of the property's notes, unless they're already there. Uploading the same file twice changes nothing.
  • Properties from myRent get their notes, but their contacts stay managed in myRent.

Each imported property takes the schedule from your New property default settings in Settings. See how to schedule inspections. To share them out to your team, see how to assign properties.

Keep in mind

  • Anyone on your team can import properties.
  • We delete your uploaded file and its import 3 months after you upload it. Your imported properties stay.
  • Rather we did it for you? Select Send us this file on any step after uploading, or send your list to hello@myinspections.com, and we'll import it.
